    Tax & Compliance Series

This guide is part of a comprehensive series. Explore all 202 topics:

Polish small businesses and freelancers (osoby prowadzące jednoosobową działalność gospodarczą) must comply with KSeF by April 1, 2026. If you're VAT-registered, there are no exemptions based on size — even a sole trader issuing 10 invoices per month must submit through KSeF in FA(2) XML format. The Ministerstwo Finansów estimates 2.5 million small businesses will be affected.

Does KSeF Apply to My Small Business?

    You MUST Use KSeF If:

    • You are registered for Polish VAT (have a NIP and file VAT-7 or VAT-7K declarations)
    • You issue invoices for domestic B2B transactions
    • You are a freelancer (działalność gospodarcza) above the VAT registration threshold

    You May Be Exempt If:

    • You are a VAT-exempt taxpayer (zwolniony z VAT) under Art. 113 of the VAT Act — annual turnover below PLN 200,000 (approx. €46,000). However, even exempt businesses should prepare, as KSeF extension to exempt taxpayers is planned.
    • You only issue B2C invoices (consumer sales) — not currently required via KSeF
    • You are a farmer under the ryczałt rolny scheme

    What's Different for Small Businesses?

    Simplified Invoicing Options

Small businesses with lower transaction volumes can use:
    • KSeF web portal: Free, browser-based invoice creation directly in the KSeF system — no software purchase required
    • Profil Zaufany authentication: Free government digital ID, no need for expensive qualified electronic seals
    • Manual submission: For very low volume (under 50 invoices/month), manual portal entry is viable

    Accounting Software Integration

Most Polish accounting platforms (e.g., wFirma, Fakturownia, InFakt) are adding KSeF integration. Check your current software for:
    • FA(2) XML generation capability
    • KSeF API connection
    • Automatic KSeF number tracking
    • Correction invoice (faktura korygująca) support via KSeF

What Will KSeF Cost My Small Business?

KSeF itself: Free — the government portal and API have no usage fees Software upgrades: PLN 0–500/month depending on your current accounting system's KSeF readiness
