Registering for Poland's KSeF requires a valid NIP, authentication via Profil Zaufany or qualified electronic seal, and API configuration for automated invoice submission. The process takes 2-5 business days depending on your chosen authentication method, and the Ministry of Finance provides a full sandbox environment for testing before going live.

What Do You Need Before Registering for KSeF?

Active NIP: Your company's 10-digit Polish tax identification number, registered and active with the tax office REGON number: Your statistical identification number from GUS

Before starting KSeF registration, ensure you have:
    • Active NIP: Your company's 10-digit Polish tax identification number, registered and active with the tax office
    • REGON number: Your statistical identification number from GUS
    • KRS/CEIDG registration: Current company registration matching your legal name and address
    • Authentication method: At least one of: Profil Zaufany, qualified electronic seal, or qualified electronic signature
    • Invoicing software: A system capable of generating FA(2) XML and connecting to the KSeF API

How to Register for KSeF: Step-by-Step

Step 1: Access the KSeF Portal

Navigate to podatki.gov.pl/ksef and select "Rejestracja" (Registration). You'll need to authenticate as a person authorized to represent the company.

Step 2: Choose Your Authentication Method

    KSeF supports three authentication methods:
    • Profil Zaufany (Trusted Profile): Free government-issued digital identity. Most common for sole traders and small businesses. Set up at pz.gov.pl.
    • Kwalifikowany podpis elektroniczny (Qualified Electronic Signature): A paid certificate from an accredited provider (e.g., Certum, KIR). Required for larger enterprises.
    • Kwalifikowana pieczęć elektroniczna (Qualified Electronic Seal): A company-level certificate for automated, machine-to-machine invoice submission. Ideal for high-volume businesses.

    Step 3: Configure API Access

For automated invoice submission, generate KSeF API tokens:
    1. Log into the KSeF portal with your chosen credential
    2. Navigate to "Zarządzanie tokenami" (Token Management)
    3. Generate a new API token with appropriate permissions (send, receive, or both)
    4. Securely store the token — it cannot be retrieved after initial display

    Step 4: Authorize Representatives

If accountants or other staff need KSeF access, configure authorizations:
    • Primary representative: Full access to send, receive, and manage tokens
    • Secondary representatives: Limited access as defined by the primary representative
    • Software providers: Specific API-level authorization for automated systems

Step 5: Test in the KSeF Sandbox

The Ministry provides a test environment at ksef-test.mf.gov.pl:
    1. Register separately in the sandbox (it's independent from production)
    2. Submit test invoices in FA(2) format
    3. Verify KSeF numbers are assigned correctly
    4. Test error handling for rejected invoices
    5. Validate that your software correctly processes KSeF responses

    Step 6: Go Live

    Once sandbox testing is successful:
    1. Switch your invoicing software to the production KSeF API endpoint
    2. Submit your first production invoice
    3. Verify the KSeF number appears and the invoice is visible to the buyer
    4. Monitor the KSeF dashboard for any submission errors
